The Image Library allows you to make visual assets available directly from the Letsignit Slides pane in PowerPoint.
Photos, illustrations, icons, screenshots, marketing visuals, and product images—all your assets are stored in a single location and organized into folders. Access to these folders can then be assigned to the users and groups of your choice.
This guide explains how to organize your library, upload assets, prepare them for distribution, and manage access to different folders.
1. Access the Image Library
To access the Image Library:
Sign in to Letsignit.
Open the Presentations menu.
When you first access the library, it will be empty. Before uploading images, we recommend creating one or more folders to organize your content.
2. Create Folders
Before uploading assets, start by creating folders to organize your library.
Folders are also used to control access to images. Images are not shared individually—access is managed at the folder level. When you grant access to a folder, all images within that folder become available to the assigned users.
A well-organized folder structure makes it easier to distribute the right assets to the right teams.
To create a folder:
Click Create Folder in the top-right corner.
Enter a folder name.
Confirm the creation.
Tip: Use a simple and intuitive structure based on country, product, campaign, team, or asset type.
3. Upload Images
Once your folder structure is in place, you can start populating your library.
To upload images:
Open the folder where you want to add images.
Click Upload.
Select one or more files from your computer.
Confirm the upload.
The images are immediately added to the selected folder.
Good to know: You can select multiple files during upload to add a large number of assets in a single operation.
Supported formats currently include PNG, JPG/JPEG. The maximum file size is 10 MB per file.
4. Prepare Images Before Sharing
Before sharing images with your users, we recommend ensuring that each asset has a clear name and, when relevant, appropriate tags.
This makes content much easier to find from within PowerPoint.
Rename an image
Locate the image.
Click the three-dot menu on the image card.
Click the field containing the current name.
Enter the new name.
Click outside the field to save your changes.
Tip: Use descriptive names that are easy for everyone to understand. For example, "Paris Sales Team", "Product X - Exterior View", or "VivaTech 2026" are much easier to find than a file named "IMG_4587.jpg".
Add tags
Open the image.
In the side panel, navigate to the Tags section.
Click Add Tag.
Enter one or more keywords.
Save your changes.
Tip: Use tags that match how your users are likely to search for content. Examples include product names, countries, marketing campaigns, events, or business topics.
5. Share Images
Once your folders and assets are ready, you can make them available to the appropriate users.
Access is assigned at the folder level.
To assign a folder:
Locate the folder in the left-hand panel.
Click the three-dot menu next to the folder.
Select Assign Folder.
Select the users or groups who should have access.
Click Save.
A folder can be assigned to multiple users and groups.
Good to know: Under each folder, Letsignit displays the number of images it contains, as well as the number of users and groups with access. This allows you to quickly monitor how your assets are distributed.
Assigned folders then become available directly within Letsignit Slides for PowerPoint.
Manage Images
The Image Library includes several tools for managing assets on a day-to-day basis.
You can:
Search for an image
View image details
Add or edit tags
Move one or more images
Delete one or more images
Good to know: Deleting an image removes it from the library and makes it unavailable to users. However, presentations that already contain the image are not affected.
Manage Folders
You can also manage and organize folders directly from the Image Library.
Locate the folder in the left-hand panel.
Click the three-dot menu next to the folder.
From this menu, you can:
Assign a folder and review its access permissions
Rename a folder
Delete a folder
