Import, organize, and share your presentations

This guide explains how to import, organize, and share PowerPoint content in Letsignit Slides, making it available to your employees directly within PowerPoint.

You'll also learn how to manage your entire presentation library from a single place.

Prerequisites

To perform the actions described in this guide, you must have the Slides Administrator role.

1. Import a Presentation

From the Presentations tab, select PowerPoint Presentations, then click Import in the top-right corner.

Next, select your PowerPoint file. Letsignit Slides supports the following formats:

  • .pptx — PowerPoint presentation

  • .potx — PowerPoint template

The maximum file size is 100 MB per file.

Once your document has been selected, Letsignit Slides automatically analyzes the file before importing it.

If the analysis results are satisfactory, click Import. Otherwise, click Cancel, make the necessary changes in PowerPoint, and then import the file again.

Good to know: For the best results, make sure your presentation is properly configured before importing it into Letsignit Slides.

2. Share Your Presentations

Once your presentation has been imported, you can share it with your employees so they can access it directly from the Letsignit Slides pane in PowerPoint.

To grant access to a presentation:

  1. Go to the Presentations tab.

  2. Click PowerPoint Presentations.

  3. Locate the presentation you want to share.

  4. Click the three-dot menu on the presentation card.

  5. Select Assign Presentation.

  6. Search for and select the users or groups you want to grant access to.

  7. Click Assign to save your changes.

The presentation is immediately made available to the selected users. It will appear in the Letsignit Slides pane within PowerPoint.

💡 Tip: Whenever possible, assign presentations to groups rather than individual users. This makes access management much easier as employees join, leave, or move between teams.

3. Set Default Slides

Once a presentation has been shared, you can customize the PowerPoint experience for your users.

Default slides are automatically inserted whenever users create a new presentation in PowerPoint.

These slides ensure that the correct presentation theme is applied and provide a consistent starting point for everyone.

To configure default slides:

  1. Go to the Presentations tab.

  2. Click PowerPoint Presentations.

  3. Locate the relevant presentation.

  4. Open the presentation to view all its slides.

  5. Select a slide and click the three-dot menu on the slide card.

  6. Click Set as Default Slide.

  7. Search for and select the users or groups who should receive the default slide.

  8. Click Save.

Common use cases: Default slides are typically used to automatically insert a cover page, contact slide, legal disclaimer, or closing slide.

Manage Your Presentation Library

All presentations can be accessed from the Presentations tab under PowerPoint Presentations.

For each presentation, you can view directly from its card:

  • The number of slides it contains

  • The number of assigned users

  • The number of assigned groups

  • The number of slides configured as default slides

From the three-dot menu on a presentation card, you can:

  • View or edit assignments

  • Rename the presentation

  • Delete the presentation

You can also open a presentation to view and manage its slides.

From the slide view, the three-dot menu on each slide allows you to:

  • Rename the slide

  • Set it as a default slide

  • Delete the slide

Frequently Asked Questions

Can I import multiple presentations at once?

No. Presentations must be imported one at a time.

Each file is analyzed individually before import to verify its structure and compliance with PowerPoint best practices.

Can I import a SharePoint folder?

No. Documents must be imported as PowerPoint files.

If your presentations are stored in SharePoint, first download them as .pptx or .potx files, then import them into Letsignit Slides.

Can I import a presentation created in Canva?

Yes.

Canva allows presentations to be exported as PowerPoint files (.pptx). Once exported, the file can be imported into Letsignit Slides just like any other presentation.

Note: Some Canva-specific layouts, animations, or design elements may not be converted exactly the same way in PowerPoint. We recommend reviewing the presentation before importing it.

How do I interpret the document analysis results?

Before completing the import, Letsignit Slides analyzes your presentation to identify potential issues and verify that it follows PowerPoint best practices.

The analysis checks several areas, including:

  • Document structure — overall consistency and file integrity.

  • Template quality — proper use of slide masters, theme fonts, theme colors, and the absence of unnecessary elements.

  • Letsignit Slides compatibility — file format, image size, and presentation dimensions (16:9 or 4:3).

  • Accessibility — color contrast, readability, alternative text, and font sizes.

  • AI-assisted analysis (optional) — detection of more subtle issues such as forgotten placeholder text or incorrectly configured elements.

Once the analysis is complete, a dashboard displays:

  • An overall score out of 100

  • A grade from A to F for each category

  • A list of detected issues ranked by priority

Three priority levels are used:

  • Critical — must be corrected before use.

  • Recommended — strongly recommended to improve quality.

  • Informational — a point of attention only.

Some optimizations are automatically applied during import. For example, Letsignit Slides may consolidate slide masters, reconnect fonts and colors to the presentation theme, or remove unnecessary elements.

Issues that remain visible after import generally require manual action, such as removing forgotten instructional text or replacing fonts and colors that were applied directly to individual slides.

Good to know: Well-structured presentations are much easier to maintain over time, especially during a rebrand or visual identity update.

How can I improve my analysis score?

The best results are typically achieved with presentations that make proper use of PowerPoint's built-in features, including:

  • A properly configured PowerPoint theme

  • Theme-based fonts and colors

  • A clean slide master

  • Consistent layouts

  • Optimized images

The more structured your presentation is, the easier it will be to distribute, update, and maintain over time.

What file size is recommended?

Letsignit Slides supports presentations up to 100 MB.

However, we recommend keeping file sizes as small as possible. Large presentations often contain uncompressed images or high-resolution embedded media. Smaller files import faster and provide a better day-to-day experience for your users.

What should I do if an import fails?


If an import fails, first make sure that your file:

  • Is in .pptx or .potx format

  • Does not exceed 100 MB

  • Is not password-protected

  • Is not currently open or being edited by another user

You can also open the file in PowerPoint, save it again, and then retry the import.

If the issue persists, contact Letsignit Support and include both the file and the error message displayed during import.

Good to know: Presentations created in third-party tools or containing large media files may sometimes require minor adjustments before they can be imported successfully.

How can I share a presentation that employees can customize?

This is the default behavior.

Once a presentation is shared, users can edit the slides made available to them, including text, data, slide order, and other content.

All elements are editable by default, except those that have been locked in the slide master.

How can I prevent content from being modified?

To prevent content from being edited, the relevant elements must be placed in the slide master and configured as non-editable.

Users can still insert the slide into their presentations, but they will not be able to modify those elements directly from PowerPoint's normal editing view.

Changes to those elements require access to the slide master.

Can fonts, colors, and other brand elements be locked?


No.

PowerPoint does not provide a way to lock fonts, colors, or styles. Letsignit Slides automatically applies your brand guidelines, but it cannot override this PowerPoint limitation.

Can I assign a presentation to a group?


Yes.

You can assign a presentation to one or more groups to simplify access management.

All users who belong to those groups will automatically have access to the presentation.

Can I assign a presentation to multiple groups or users?

Yes.

A presentation can be shared with multiple groups and/or individual users, depending on your needs.

What happens if I remove access to a presentation?

The presentation will no longer appear in Letsignit Slides for the affected users.

They will no longer be able to view or insert it into PowerPoint.

Can a user access a presentation that has not been assigned to them?

No. Users only see presentations that have been assigned to them.

This ensures that each team only has access to relevant content while keeping the library organized and easy to navigate.

Can I change access permissions after sharing a presentation?


Yes. You can add or remove users and groups at any time.

To update access permissions:

  1. Go to the Presentations tab.

  2. Locate the relevant presentation.

  3. Click the three-dot menu on the presentation card.

  4. Select Assign.

  5. Add or remove the desired users and groups.

  6. Click Assign to save your changes.

Changes are applied automatically for the affected users.

What happens when group membership changes?

Access permissions are updated automatically.

When a user joins or leaves a group, the presentations assigned to that group are automatically granted or removed accordingly—no manual action is required.

What happens if a user has multiple default slides?


If multiple default slides are assigned to the same user, they are all applied.

The user will find all assigned default slides automatically inserted when creating a new PowerPoint presentation.
