How do I manage my brand assets?

Written by Clementine

How does it work?

The new Brand Elements page allows you to centralize and manage all elements of your brand identity (logos, colors, social media, legal notices, etc.) across your group, entities, or brands. Once defined, you’ll find these elements in your design tools, allowing you to add them to your signatures and campaigns; updates will be automatically replicated in your signatures and campaigns, ensuring perfect consistency.

Where can I find this feature?

In the admin interface, go to the “My Brand Elements” page. This is where you define and manage all the visual elements for your entities and brands.

What brand elements can I manage?

  • Logos (primary and secondary)

  • Colors (primary, secondary)

  • Social media

  • Website

  • Address

  • Legal notices and disclaimers

How do inheritance and governance work?

The feature operates on a tree structure model:

  • Global level, entity, sub-entity: each level automatically inherits elements from the parent entity

  • Between entities at the same level: brand elements are not shared among entities at the same level

  • All elements from parent levels are shared: it is not yet possible to choose which elements you want to share or not

  • Cascading updates: if you modify an element in a parent level, the update automatically propagates to all entities and sub-entities

  • Permissions: By default, entity and sub-entity administrators have the right to manage their own brand elements within their entity. If you wish to revoke this permission, go to the entity creation/edit modal and disable the permission.

And in the Designer

In the signature/campaign designer, you'll find all the brand elements you've added to your page. You can then drag and drop any brand elements you want into your signatures.

Objections / Responses

"I can’t find the ‘My Business’ page or my logo anymore"

Context: Previously, logos and colors were managed on the “My Business” page. This section has been moved.

Solution: Go to “My Brand Elements,” where you’ll find the new interface for managing all your visual elements. This section now centralizes everything that was previously scattered across different places.

“What happens if I change a brand element at the group level?"

If you change an element at the group level (e.g., a new group logo), the update is instantly applied to all entities and all signatures that use that logo.

“How can I customize the branding for a specific entity?”

You must log in to the entity and then go to the “My Brand Elements” page. There, you can add new brand elements (e.g., use a local logo instead of the group logo) while retaining the other inherited elements. This provides maximum flexibility while maintaining governance.

“What if I’ve already manually dragged and dropped social media icons into my signatures?”

Context: You’ll need to drag and drop the new elements from your brand assets.

Return on Investment: Once configured, every subsequent update (logo change, color update, adding social media platforms) takes just one click and propagates instantly. Compared to the previous manual process (which took several hours per change), the ROI is immediate.

“Can I set different elements for different regions or divisions?”

Yes, that’s the whole point of this feature. You can create a tree structure that reflects your organization’s structure (Group > Divisions > Subsidiaries by country, for example). Each level can inherit settings from the parent level or be customized. For example: group logo + local colors for France, group logo + local colors for G

“What happens if I forget to update an element?”

With a clear inheritance system, you no longer risk forgetting. If you modify an element at the group level, all entities automatically receive the update. No more manually hunting down templates.

“What happens if I delete a logo from the ‘My Brand Elements’ page?”

Once the logo is removed, all signatures that contained that logo will have a blank space, unless you have other logos in your library, in which case the most recently added logo will automatically be inserted there.
