What does the Internal Audience feature do?

This feature allows you to relay specific signatures and campaigns for internal company communications.

Your collaborators' signatures and campaigns will automatically adapt to the recipients of their emails!


Requirements for the Internal Audience feature

  • Please note that for users who already have the Letsignit Add-in, an action is required by M365 administrator to validate the update in order to benefit from the Internal Audience feature

  • Minimum Outlook version required: 16.0.14927.10000

MAC

  • Compatible only with the new version of Outlook

  • Minimum Outlook version required : 16.63.607.0


How to set up a signature or campaign specifically for internal use?

  • Once in the designer, click on the "recipients" tab

  • Check the "Set as internal campaign" option if you want this element to appear only when your employees write to internal recipients

  • Save your signature/campaign

What does the end user see when he/she writes an email?

Once the internal signature and/or campaign has been created and assigned to your users, no action is required on their part!

Automatically, when they write an e-mail whose recipient(s) belong to the internal audience, the internal signature and/or campaign will be inserted in the e-mail.

Which domain names are considered internal?

  • Access the "Audience" page in the top right-hand menu to view the domain names considered internal to your company

This page lists all domain names that are considered internal to your company.

By default, the internal audience is dynamically fed by the domain names synchronized on the Letsignit platform (Synchronization of your Office 365 directory only).

How to remove a domain name from the internal audience?

  • Uncheck the domain name and click on the Save button at the bottom of the page.

If you uncheck the domain, it will no longer be considered internal but will remain visible in the internal audience page (because it is still synchronized with your M365 directory).

On the other hand, if you remove a domain name from your 0365 directory synchronization, this domain will automatically disappear from the audience. (It will no longer be visible in the list and will no longer be considered internal)

How to add a domain name to the internal audience?

Since domain names are automatically synchronized with the 0365 directory, if you synchronize a new domain on Letsignit, it will automatically go up in the internal audience and will be considered as internal.

It is not possible for the moment to manually add a domain name

Glossary

  • Public signature/campaign = the signature/campaign has no internal restriction (as today, it is intended for any kind of recipient)

  • Internal signature/campaign = the signature/campaign has an internal restriction (it is intended for internal recipients only)

  • Internal domain name = a domain name that is part of the internal audience (activated in the audience page)

  • Public domain name = a domain name that is not part of the internal audience

  • Internal recipients = the email of the recipient(s) contains an internal domain name

  • Public recipients = the email of the recipient(s) contains a public domain name

  • Mixed recipients: the email of the recipient(s) contains an internal domain name but also a public domain name

Good to know

Audience management by subsidiaries

  • Internal domain names (and therefore the internal audience) are defined for each tenant

  • Global admins can edit the audience only at global level (and not in a subsidiary)

  • Tenant's delegated admins can edit the audience only at the level of their tenant

  • Subsidiaries inherit domain names set as internal by the global level

  • Subsidiary admins only have read access to the Internal Audience tab, they cannot modify it.

  • The list of domains appears grayed out and when hovering over it, a text indicates to the affiliate admin that he can't modify it.

Priority management between several signatures or internal campaigns

  • If you have defined several internal signatures or campaigns, the internal signature or campaign with the highest priority will be inserted.

  • If there are several internal elements with the same priority, the most recently saved one will be inserted.

Signature without campaign option

If the option "signature without campaign" has been chosen for a signature (public or internal) from the platform, no campaign will be associated with this signature.
