With Letsignit, you can automatically adapt your employees’ signatures and campaigns based on the recipients of their emails.

This allows you to display different communications when they email colleagues, external contacts, or specific companies.

How do you choose the audience for your signature or campaign?

The Audience defines which recipients should see a signature or campaign.

From the Audience tab in the Designer, you can choose from four options:

The signature or campaign can be displayed regardless of the recipient.

  • Internal recipients
Displayed only when your employees email recipients within your organization.

  • External recipients
Displayed only when your employees email recipients outside your organization.

  • Specific domain(s)

What is the difference between Assignment and Audience?

Assignment determines the senders, meaning the employees who have access to the signature or campaign.

Audience determines the recipients, meaning the people who should see it.

Examples:

  • To promote an internal seminar within my company, I assign the campaign to all my employees and select the Internal recipients audience.

  • To promote a product to my customers, I assign the campaign to all my employees and select the External recipients audience.

How does Letsignit determine which content to display?

Once the signature or campaign has been configured and assigned, the employee does not need to take any action.

Letsignit automatically analyzes the recipients listed in the To and Cc fields of the email, excluding Bcc, to determine which content to display.

  • When there is a single recipient

Letsignit displays the signature or campaign corresponding to the recipient’s audience.

  • When there are multiple recipients

Letsignit analyses all recipients listed in the To and Cc fields. Bcc recipients are not taken into account.

  • If all recipients share a common audience, Letsignit displays the signature associated with that audience.

  • If the recipients do not share a common audience, Letsignit first looks for an External recipients signature.

  • If no External recipients signature is available, Letsignit displays the All recipients signature.

In summary, Letsignit first looks for a common audience, then applies the following priority order: External recipients, followed by All recipients.

  • What happens when multiple pieces of content match?

The usual priority rules continue to apply.

If multiple signatures or campaigns can be displayed for the same audience, Letsignit selects the one with the highest priority.

If they have the same priority, Letsignit uses the content that was saved most recently.

Who can choose an audience?

Any administrator with permission to create or edit a signature or campaign can choose its audience from the Designer.

The definition of internal recipients is managed at the organization level by global administrators. Other administrators can view this configuration from My audiences.

💡 For more information, see Manage internal audiences.

How can you find your signatures and campaigns by audience?

From the Signature and Campaign Libraries, you can more easily find your content based on its audience.

Use the Audience filter to display the signatures and campaigns that match the targeting criteria you are looking for.
